Lead tracking setup

Know which ad each inquiry came from

Conversion tracking, source fields and CRM routing set up so every form fill and lead form entry is recorded and assigned.

What lead tracking setup means

Lead tracking setup connects the places a lead passes through: the ad, the landing page, the form, your CRM and the sales outcome. Done well, it lets you see which campaign a request came from and what happened to it afterward.

The work is mostly configuration. Google Tag Manager holds the tags. GA4 records events such as form submissions. Each ad platform gets its own conversion tag. UTM parameters label each link so the source travels with the lead into your CRM. Later, sales stages from the CRM can be sent back to the ad platforms, so they learn which clicks led to real conversations.

Tracking measures what happens. It does not decide what happens; that is down to your offer, your ads and how quickly your team follows up.

Sending CRM stages back to the ad platforms

Ad platforms only know what you tell them. If the only signal is a form submission, they look for people likely to submit forms. Some of those people are a poor fit for your business.

Offline conversion import sends later outcomes back. When a lead in HubSpot, Salesforce or Pipedrive reaches a stage such as "meeting booked" or "deal won," that event is sent to Google Ads, Microsoft Advertising or Meta, matched to the original click or contact. Some CRMs have built-in connections for this; others need a scheduled upload or a connector tool.

Setup involves choosing which stages to send, capturing the click identifiers on your forms, and checking that matches come through. The platforms decide how to use the data.

What you provide for tracking setup

Tracking connects your own accounts, so most of what is needed is access and a few decisions:

  • Admin access, as an added user, to Google Tag Manager, GA4 and each ad account
  • Access to your website or page builder to install Tag Manager, if it is not already there
  • Admin or integration access to your CRM
  • A list of every form and where each one sends submissions today
  • Your sales pipeline stages and what each one means
  • Who should be alerted about new leads, and how
  • Any consent wording and records your counsel requires

If some accounts were set up by a past provider, check now that your business is the owner. Recovering ownership later can be slow.

Questions about lead tracking and follow-up

Why do GA4 and my ad platform show different numbers?

Each tool counts by its own rules. They differ in attribution windows, how they treat returning visitors and what ad blockers stop. Some gap is normal. The aim is to keep each source consistent over time and to make sure a single submission is not counted twice within any one tool.

Who is responsible for consent to call or text leads?

The advertiser. Your business, with its own counsel, decides the consent wording on forms, whether automated texts are used and how consent records are kept. A tracking setup can store the consent value with each lead, but it does not decide what is compliant. The FCC has general guidance on calls and texts.

Will tracking setup change how many leads I get?

No. Tracking records what happens; it does not change what visitors do. It can show which campaigns produce sales conversations, and sending CRM stages back gives ad platforms better information. What the platforms and your buyers do with that is outside anyone's control.
